How to Track Labor and Time Across a Team

When it's just you, labor lives in your head. Add a helper and you need a real way to see who made what, without micromanaging or showing them your margins.

When you work alone, you roughly know how long things take and what your time is worth. Bring on help and that knowledge has to become a system. Otherwise you can't tell what production actually costs, who's making what, or whether a product's labor is eating its margin. Tracking team labor isn't about watching people; it's about knowing your numbers once more than one person is making things.

Why it matters with a team

  • Real product cost: labor is part of true cost; with a team, you need actual hours, not a guess.
  • Capacity: knowing how long things take tells you how much your team can produce.
  • Fair workload: you can see what's getting made and balance it across people.

Keep it simple to actually do

Labor tracking dies when it's a hassle. Tie time to the work, not to a separate timesheet nobody fills in: when a batch gets made, capture who made it and how long it took. The lighter the touch, the more likely it sticks.

Protect your financials

Your team needs to know what to make and how many, not what each product costs you, your margins, or your supplier prices. The right setup lets a helper log their work and see their tasks while keeping the money private. Tracking labor shouldn't mean opening your books.

Track labor to know your costs and your capacity, not to look over anyone's shoulder.

Turn hours into real numbers

From the Team plan, Keepsel lets you bring people in (on Team, you plus four people; more on Business and Enterprise), give each a role, and assign work orders (up to 10 a month on Maker as a trial and 100 on Team, unlimited on Business and Enterprise) so each person sees what to make. Roles hide costs and margins from workers, and each product's labor counts in its true cost. Adding help makes your numbers clearer, not murkier.
