Data Usage & AI Policy

To run Keepsel for you: to let Suli answer your questions and propose changes, to keep your records, costs and reports, and to keep Keepsel working and safe. Suli also sends the business’s owner and managers who can see its financials a monthly report at the start of each month, and a heads-up in the week a product starts losing money, its margin drops by 10 points or more, or it earns under the business’s own thin-margin line (10% unless you change it). They arrive in Suli, by email, or both, as the business chooses in Settings & memory, and include business figures. They go only to businesses on the Maker plan or above that used Suli this month or last. Someone who can manage Suli can turn the emails off for the whole business in Settings & memory, and every email has a link that stops Suli’s report emails to that email address, for every business it belongs to.

You own all the business data you put into Keepsel: product information, materials and their costs, stock, purchases, orders, production records, and the receipts, photos and spreadsheets you upload. Keepsel does not claim ownership of any of it.

To answer you, Suli sends your message, any file you attached, and the parts of your business records needed for that question to our AI provider, gets a reply, and shows it to you. Changes Suli proposes are saved only after you, or someone on your team allowed to, approve them.

Our AI provider is Anthropic (its Claude models), used through its commercial API. The emailed reports in section 1 include business figures.

Talking to Suli instead of typing, and having its replies read aloud, are optional and use your browser’s own speech services; the Privacy policy explains who receives what.

We do not use your chats or business data to train AI models, and we do not let our AI provider use them to train its models.

We may use counts and totals about how Keepsel is used (for example, how many messages are sent) to run and improve it. These never identify you or your business, and we do not try to link them back to you. Your own customers’ personal information is never part of them.

• Chat messages with Suli: deleted 12 months after they were sent.
• Notes you ask Suli to remember: until you delete them.
• Suli’s short summaries of recent changes, so it can pick up where you left off: 90 days.
• Suli’s proposals and the record of approved changes: kept with your business records while your account is open, because they show how your books came to be.

The Privacy policy lists everything else we keep and for how long.

Unless you explicitly allow it, we do not use your logos, brand assets, product photos, uploaded artwork, account screenshots, private business information or identifiable business figures for anything but running Keepsel for you. Testimonials, case studies or marketing need your separate permission.

Suli is built on a large language model. It can misread a receipt, misunderstand a question or get a number wrong, so check what it proposes before you approve it. Suli’s answers are information to help you run your business, not financial, accounting, tax, legal or other professional advice.

We use reasonable measures to protect your data. Access is limited to the people and service providers who need it. The providers, and what each does, are listed in the Privacy policy and the Data Processing Addendum.

You can delete notes Suli remembers, switch off its emailed reports, and ask us at hello@keepsel.com for a copy of your data, for files to be removed, or for your account and data to be deleted.
